Changing Contact Details or Legal Entity

Changing contact details

RTOs must inform the VRQA if there are any changes to their contact details; it is a condition of your registration that all contact details are current. Once the relevant documents have been received, including the details of any contact being removed, the VRQA will update the State Register. Training.gov.au will be automatically updated.

Change of head office contact

If the head office contact listed on the State Register and Training.gov.au changes, the new head office contact must fill in the head office contact statutory declaration (doc - 67.5kb) and have it witnessed by someone on the approved list of witnesses (doc - 45.5kb). This should be mailed to the VRQA with a covering letter on organisation letterhead stating the contact details of the new head office contact, including:

  • full name
  • position title
  • phone numbers (an office landline is mandatory - 1300 numbers are not accepted, including for branch/training locations. Mobile numbers may also be provided)
  • fax number
  • email address.

Change of CEO

If the CEO listed on the State Register and Training.gov.au changes, the new CEO must fill in the CEO statutory declaration (doc - 66.5kb) and have it witnessed by someone on the approved list of witnesses (doc - 45.5kb). This should be mailed to the VRQA with a covering letter on organisation letterhead stating the contact details of the new CEO, including:

  • full name
  • position title
  • phone numbers (an office landline is mandatory - 1300 numbers are not accepted, including for branch/training locations. Mobile numbers may also be provided)
  • fax number
  • email address.

Changing the day-to-day contact person

Submit a letter on company letterhead with the details of the new contact person including:

  • full name
  • position title
  • phone number (an office landline is mandatory - 1300 numbers are not accepted, including for branch/training locations. Mobile numbers may also be provided)
  • fax number
  • email address.

Changing addresses, branch/training locations, phone numbers and email addresses

To change phone/fax numbers, addresses, email addresses and websites, send details specifying which contact the change applies to (Head Office, Day to Day, Branch/Training Location) by mail, email or fax to:

Changing legal entity

When changing legal entity, RTOs must follow the guidelines set out in the Change of RTO Organisation Status – Guidelines (doc - 228.5kb).

These guidelines provide advice on the VRQA policy requirements in the event of:

  • a change in the legal status of an RTO
  • substantial changes to the control, management or operations of an RTO
  • other circumstances that result in an RTO ceasing operations.
