Frequently asked questions - VET Registration

New providers

To become a registered training organisation (RTO), schools and education and training providers are required to meet the AQTF 2007 Essential Standards for Registration.  See www.training.com.au.

Where is my application up to?

VRQA will contact you if your application is incomplete. When the application is complete a VRQA auditor will contact you to arrange a mutually convenient time for your audit. You should allow at least four to six months for processing of your application.

Can I deliver to overseas students?

To provide courses to overseas students in Victoria you must apply to the VRQA for approval. Once approved you can be registered on the Commonwealth Register for Institutions and Courses for Overseas Students (CRICOS). See: International Education.

When is the next information Session?

The VRQA runs information sessions for prospective RTO’s every two months.   see Events.

When are audited conducted?

An audit is required before an application for registration can be approved. The VRQA also conducts an audit during the first year of registration and again before the period of registration expires. Audits could also occur as a result of investigating complaints or gathering information about the quality of training in particular industries.

Do I have to have my premises set up before audit?

You will need to have in place all of the resources and facilities required for the training and assessment services that you want to provide.

Can I have an appointment to go through my application?

When your application is received, it will be evaluated by the VRQA and you will be contacted if any further information is required.

What are the fees?

Application fees and annual registration fees are payable to the VRQA.  See VET Registration Fees.

How do I cancel my registration?

You will need to send a letter and complete Form C - Request to cancel registration (PDF - 64Kb), and provide an electronic copy of your student records for archiving.

Exisiting providers

When will the fax back be sent for a new training package?

Check the transition arrangements in the new purchasing guide. This outlines the arrangements for adding replacement qualifications to your scope. In some cases, a fax back option is available.

What if I do not receive a fax back?

Fax back information is provided to the RTO day-to-day contact listed on the state register – check if they have received it. If you have not received a fax back,  contact QAR@edumail.vic.gov.au.

How do I cancel my Registration

How do I cancel my CRICOS registration?

You need to send a letter informing the VRQA of your intention to cancel your registration and VRQA will contact you to discuss the implications for any current or prospective students.

How do I change my contact details on NTIS

The person authorised by the RTO to make changes needs to send VRQA an email or a letter on RTO letterhead.

How do I change major details on NTIS e.g. CEO?

All major changes need to be requested by the CEO in writing. If the CEO has changed, a covering letter and Statutory Declaration is required. This form is available on request from QAR@edumail.vic.gov.au.

How do I change company name


We will require a letter, on the new company’s letterhead and a certificate of change of company name, which you would have received from ASIC.

How do I add a trading name?

The CEO will need to send us a copy of the Certificate of Registration of a business/trading name and a covering letter.

How can I obtain a copy of the  NRT /VRQA logos?

An identified contact for your RTO may request the logos by email to QAR@edumail.vic.gov.au and we will then supply you with the logo and the standards regarding its usage.

Can I change CRICOS course fees

Yes, you need to provide us with a written notification on letterhead or email of the amendments and these will be updated. There is no cost involved

How do I offer training interstate?

If you wish to offer courses interstate to domestic students, you will need to complete the Notification of Delivery Outside of Victoria (PDF - 57Kb) form.

If you want to provide CRICOS courses to overseas students in other states, you will need to apply for approval from the registering body in each State or Territory where you want to deliver.

How do I deliver training overseas?

If you want to issue qualifications from the Australian Qualifications Framework to overseas students, you need to be registered and complete Notification of Delivery Outside of Victoria (PDF - 57Kb) form and submit to VRQA.

How do I obtain a copy of my Certificate of Attainment?

If you are seeking a copy of your qualification, certificate of attainment or results, please contact the RTO where you were enrolled.

In the event that the RTO has closed down, the VRQA may be able to supply a copy of certificates if the provider has provided their student records to the VRQA.

How can I complain about an RTO

If you have a complaint regarding the quality of your training, approach your RTO in the first instance. If you are not satisfied after raising the complaint with your RTO, then you may be able to raise a complaint through the VRQA. See Complaints
