When circumstances change

What you need to know

A registered training organisation's (RTO's) contact details must be kept up to date. This is a condition of registration.

Please let us know when a contact changes or needs to be removed, so we can update the State Register. Training.gov.au will be updated automatically.

Generally, you will need to send the relevant documents by post or email to:

Or email scanned documents to qar@edumail.vic.gov.au.

Important information: if your financial circumstances change, due to a loss of funding, for example, we may need to conduct a financial viablitiy assessment.

Change of head office contact

The new head of office contact will need to sign a statutory declaration and have it witnessed:

Please return the statutory declaration, with a covering letter on your organisation's letterhead. The letter should include the person's:

  • full name
  • position title
  • phone numbers (an office landline is mandatory — 1300 numbers are not accepted, including for branch or training locations. Mobile numbers may be provided)
  • email address.

Change of chief executive officer

  • email address.

Changing general contact details

You can email to change phone or fax numbers, addresses, email addresses and websites, send details

Please specify which contact the change applies to (Head office, day-to-day, branch/training location)

Changing legal entity

There are guidelines to follow when changing legal entity:

These provide advice on our policy requirements in the event of:

  • a change in the legal status of an RTO
  • substantial changes to the control, management or operations of an RTO
  • other circumstances that result in an RTO ceasing operations.

Change of financial circumstance

If your RTO's financial circumstances change due to a loss of funding or otherwise, we may review your finanancaly viability.

In such cases we will contact you to request certain imformation so we can conduct a financial viability assessment.
