Reporting changes to school details

 

Schools report to us when certain details change such as their principal, address or governing body membership.

Independent schools report these details directly to us, providing any necessary supporting documentation by email. Some change may mean schools are required to complete a fit and proper person declaration, which is available on this page. Completed declaration forms should be kept at the school and provided to us on request.

The Department of Education and the Catholic Education Commission of Victoria manage the reporting requirements for change of school details on behalf of their respective schools. 

Change of principal

Independent schools must notify us about a change of principal within 30 days. This is a condition of registration in accordance with Schedule 4 of the Education and Training Reform Regulations 2017.

The notification must include the new principal's: 

  • salutation
  • full name
  • contact telephone number
  • email address
  • postal address

New school principals need to complete a fit and proper person declaration, which is available on this page. The completed declaration should be kept at the school so it can be provided to us on request.

Change of members of governing body

Independent schools must notify us about any change to governing body membership within 30 days. This is a condition of registration in accordance with Schedule 4 of the Education and Training Reform Regulations 2017.

When a new member joins the school’s governing body, the member must complete a fit and proper person declaration. Completed declarations should be kept at the school so they can be provided to us on request.

Please notify us in writing with the name and contact details of any new proprietor, president, chair, or member of the school's governing body.

Change of address

Independent schools must notify us about a change of address within 30 days. This is a condition of registration in accordance with Schedule 4 of the Education and Training Reform Regulations 2017.

A change of address applies when a school's street name or number changes. It does not apply to schools that relocate a school or campus.

Fit and proper person declaration

A fit and proper person declaration must be completed for a change of principal, a change of members of governing body or a change in a school's address. To download a copy of the declaration, see:

Change of religious or other affiliation

Independent schools must notify us about a change of religious or other affiliation within 30 days. This is a condition of registration in accordance with Schedule 4 of the Education and Training Reform Regulations 2017.

There are no fees associated with this request but you will need to fill in and send us the following form:

A school's religious or other affiliation is shown on the State Register as 'denomination'.

Submitting school annual reports

All schools must provide their annual report to be published on the State Register. 

The Department of Education and Training and the Catholic Education Commission of Victoria manage the process of submitting these reports to us for their respective schools.

Independent schools should email a Word and PDF version of their report directly to us at:

The report is due no later than 31 August each year should include:

  • a description and analysis of student learning outcomes in state-wide tests and examinations for the current year (or for the last 2 years if the school has been established that long)
  • a description and analysis of student attendance rates for the year
  • a report of the school's financial activities
  • copies of any other reports the school is required to prepare for the school community under any funding agreements with the State or Commonwealth governments.

Why do we publish annual reports

The Education and Training Reform Regulations 2017 state that a registered school must make information concerning its performance available to the school community at least once a year.
